Standard Content Types

All portal content is organized within folders, and the top-level folders appear in the navigation pane.  The portal folders are similar to those in Windows used to store and organize files.  The Add new option on the toolbar is used to add various content types to a folder.  Below is a list of the standard content types, but depending on the folder's function, the Add new menu may have limited or custom types.

Standard content types:

  • File – Files uploaded to a site can be indexed so that the text within the files is searchable through the portal search box.  Indexing is currently supported for PDF, Word, Excel, PowerPoint, and text files.
  • File with Encryption – Files with sensitive or personal identifiable information (PII) should be encrypted before uploading.  This feature encrypts an unprotected file while it is uploaded to a site.
  • Folder – Similar to folders in Windows, folders on a portal are used to group and organize files and documents.
  • Image – Images can be added to a site, and the supported formats include .gif, .jpg, .bmp, and .png.  If there are many images in a folder, the Album View option from the Display menu for that folder can be used to show thumbnails of the images.
  • Link – Links to an internal or external URL can be stored on a site.  External links must begin with a valid protocol (e.g., https://).
  • Page – Essentially a web page used to present static information.  A content editor is provided for adding and formatting text, images, and links without requiring knowledge of HTML.

There are non-standard content types available to a portal such as Contact Display, Event, News Item, Group Space, and Collection.  The addition of these types may be limited to specific folders or only available by request.
